Accounting Assistant

Job Details

Working out of our Corporate Office in Green Bay, the Accounting Assistant provides support to the accounting and finance team with a focus on managing long term care insurance billing, reviewing billing and payroll records and assisting with accounts receivable collection.  As the face of Home Instead, this team member must demonstrate our core value, Love (v.), in all interactions with internal and external customers and staff: patience, kindness, humility, selflessness, respectfulness, forgiveness, honesty and commitment. 

 

RESPONSIBILITIES

  • Manage Long Term Care (LTC) Insurance claims for clients for all office locations
  • Initiate Long Term Care Insurance claim submission
  • Gather and input CAREGiver Log Notes for LTC clients
  • Respond to client inquiries and LTC requests for information in a timely fashion
  • Reconcile Long Term Care Insurance payments and earnings of benefits
  • Create and standardize processes regarding Long Term Care Insurance cases
  • Coach CAREGivers and administrative staff to gather necessary and effective LTC processing
  • Support billing and payroll within the Corporate Accounting Department
  • Review daily billing and payroll records
  • Review billing exceptions (red shifts, overlaps, & trip charges)
  • Assist in sending out the weekly/monthly Accounts Receivable statements
  • Initiate and respond to client balance inquiries and collection letters
  • Monitor client payment plans
  • Verify accuracy of data and revise any errors
  • Answer questions about client invoices and services
  • Assist in providing financial, operational and management information by gathering information from various sources
  • Create and maintain spreadsheets to provide relevant data to management
  • Recognize opportunities for process improvement in accounting or operational procedures
  • Provide administrative support activities as required
  • Occasional inter-departmental support as needed
  • Participate in department projects
  • All other duties as assigned

 

MINIMUM QUALIFICATIONS

  • Associate Degree in Accounting or equivalent work experience
  • Professional office work experience preferred
  • Previous experience and comfort with Excel required; ability to work with formulas, charts/graphs, pivot tables, etc.
  • Aptitude for attention to detail and analyzing data
  • Demonstrated professional verbal and written communication skills

Scheduling Coordinator - Sturgeon Bay/Green Bay

Sturgeon Bay Scheduling Coordinator

Assigned to a specific franchise location, the Staff Coordinator (SC) uses independent judgment and discretion to assess client needs, analyzes data to qualify available CAREGivers, and places suitable CAREGivers with clients upon determining the best client/CAREGiver match. This position coordinates introductions between clients and CAREGivers and uses discretion to achieve optimum utilization of CAREGivers. As the face of Home Instead, this team member must demonstrate our core value, Love (v.), in all interactions with internal and external customers and staff: patience, kindness, humility, selflessness, respectfulness, forgiveness, honesty and commitment.

RESPONSIBILITIES:

  • Autonomously manages the creation and maintenance of client and CAREGiver schedules with an emphasis on creating high quality matches and development of extraordinary relationships
  • Refers concerns regarding CAREGiver assignments and hours worked to Recruitment and Engagement Manager/ Caregiver Manager to manage schedules to agreed availability
  • CAREGivers accountable for meeting expectations of assignments, including hours worked and taking additional shifts
  • Negotiates availability and shift assignments with CAREGivers
  • Coaches CAREGivers on a variety of issues including interpretation and administration of company policies, procedures and inquiries
  • Orchestrates introductions for new client/CAREGiver meetings
  • Ensures 100% maintenance of service hours and mitigation of CAREGiver overtime
  • Increases client loyalty by consulting clients to better meet their needs
  • Cures quality care by identifying and following through on opportunities to increase service hours
  • Utilizes independent judgment to problem solve CAREGiver, client and staffing concernsSturgeon
  • Accurately log all activity in the database
  • Participates in CAREGiver, Admin and other meetings as needed
  • Performs Client/CAREGiver Introductions in Door County
  • Assist with CAREGiver Training and Quality Assurance visits
  • Able to work 2 days in the Green Bay office
  • Fill in shifts as necessary
  • All other duties as assigned
  • Regular work schedule 830a-530p M-F, with the exception of one weekend a month both Saturday and Sunday 830a-430p

QUALIFICATIONS:

  • Associate degree preferred, or related professional experience
  • CNA or Caregiver experience
  • Strong computer skills with proficiency in software applications, such as Word and Excel
  • Demonstrated ability to work independently and use sound judgment and discretion successfully
  • Ability to influence and persuade others with confidence and diplomacy
