Recruitment and Retention Coordinator

Job Details

Position: Recruitment & Retention Coordinator

Department: Recruitment, Education and Retention

Supervisor: Lisa Loehr, General Manager

 

Objective: The Recruitment & Retention Coordinator is expected to perform a variety of duties in the recruitment and retention of CAREGivers. The Recruitment & Retention Coordinator is expected to recruit, screen, hire, train and retain a staff of CAREGivers in order to provide the highest quality service to clients.

 

 

Primary Recruitment Responsibilities:

  • Cooperatively work with the Service Coordination Department to assess company staffing needs.
  • Competently use Applicant Stack to screen, process and track new candidates for employment.
  • Regularly post/refresh employment ads in active job boards.
  • Competently use Applicant Stack to effectively determine which candidates are not eligible for hire and communicate the decision in a professional and appropriate manner.
  • Schedule and conduct applicant pre-interview phone screening, interviews and follow-up interviews as necessary in an efficient, consistent and professional manner.
  • Collect candidate availability, communication and schedule preferences prior to offer of position to ensure compliance through 90 day probation period.
  • Conduct character reference, criminal background, MVR, DORA and pre-employment drug screening on all candidates for employment.
  • Offer position and send Welcome Letter. Schedule Employment Training; Orientation, Personal Care Training, and 1:1 Meeting with Service Coordination. Complete CAREGiver Checklist for personnel file and track initial training in database.
  • Complete and maintain all employment records including but not limited to I-9 form, W-4 form and all other initial employment related documents and deliver to QAM once completed.
  • Prepare and complete Personal Care Training certificate for employee file, obtain Owner & Training Manager signatures and file accordingly.
  • Obtain completed employee handbook, ensure appropriate signatures are completed, obtain copy for Employee File and return original
  • Enter new Candidates into database as potential CAREGivers & create and distribute Candidate Profile upon completion of initial Orientation.
  • Activate New CAREGivers in database once all pre-employment screening and training has been completed and send out e-mail to All Users regarding their status.
  • Collect and distribute new Employee paperwork including authorization and required materials for direct deposit of personnel paycheck(s) to Owner OR E-mail General Manager regarding employees who wish to pick-up personnel paycheck(s) at the office.
  • Develop and implement new recruitment strategies within the community to include career fairs & other sponsored events.
  • Research, schedule and successfully execute regular community recruitment events including health fairs, senior expos and any other event that would promote our service to the general public.
  • Uphold local and federal labor and employment laws using EEOC guidelines to prevent undue discrimination.

 

 

Primary Retention Responsibilities:

  • Support the Training Manager in Open House and Wellness Events as needed.
  • Use the employment process to form and strengthen relationships, determine their needs and provide custom solutions in order to gain their commitment.
  • Monitor CAREGiver birthdays/anniversaries and distribute to All Users monthly.
  • Distribute Birthday cards to CAREGivers regularly.
  • Distribute Thank You cards to current CAREGivers for referrals of new candidate/hire (s).
  • Provide support and initial contact with new CAREGivers at least after 1 month of employment to obtain information regarding satisfaction. Direct concerns or comments to appropriate parties as needed, and document communication in database.
  • Monitor hours worked for all new Employees from previous month, 60 day turnover, upcoming recruitment strategies and provide report in monthly Staff meeting.
  • Monitor, track and report hours worked to Owner for CAREGiver Referral Program on a monthly basis.

 

Additional Responsibilities:

  • Reflect the core values of Maguire Senior Services, Inc., (d.b.a. an independently owned and operated Home Instead Senior Care franchise).
  • Answer each new Client inquiry in a friendly, professional and knowledgeable manner.
  • Answer each employment inquiry in a friendly, professional and knowledgeable manner.
  • Maintain regular attendance at the office to execute job responsibilities.
  • Demonstrate open and effective communication with owner, colleagues and CAREGivers.
  • Participate in weekly Department Meetings and monthly All Staff Meetings.
  • Utilize means necessary to communicate effectively with potential candidates including but not limited to e-mail, voicemail, etc. and return messages regularly.
  • Participate in Back-up On-Call rotation for internal staff.
  • Work one holiday per year (On-Call).
  • Answer incoming calls and route to appropriate parties
  • Other duties as assigned.

 

 

Education/Experience Recommendations:

 

  • High school graduation or the equivalent. Undergraduate degree.
  • 3+ years of related experience or an equivalent combination of education and work experience may be considered.

 

 

Knowledge, Skills and Abilities:

 

  • This position must have an understanding of and uphold the policies and procedures established by Maguire Senior Services, Inc., (d.b.a. an independently owned and operated Home Instead Senior Care franchise).
  • This position must demonstrate excellent oral and written communication skills and the ability to listen effectively.
  • This position must have the ability to work independently, maintain confidentiality of information and meet deadlines.
  • Ability to demonstrate effective interpersonal skills is essential as well as sound judgment, problem-solving and good decision-making.
  • Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures.
  • Ability to organize and prioritize daily, monthly and yearly work.
  • Ability to establish good working relationships with office colleagues, the franchise owner, clients and the community.
  • Ability to present a professional appearance and demeanor.
  • Ability to operate office equipment.
  • Must be patient and congenial on the telephone and in person.
  • Must have computer skills and be proficient in Word, Excel and Publisher.
  • Ability to work on-call in the evenings/weekends or 1 holiday per year as needed.
  • Knowledge of the senior-care industry.
  • Knowledge of labor laws and safe hiring practices a plus.
  • Ability to perform duties and maintain professional appearance within a professional office setting.
