Recruitment & Engagement Assistant Job Description
Smith Family Senior Care, LLC dba Home Instead
Objective:
The Recruitment and Engagement Assistant is responsible for conducting all background checks, maintaining accurate data entry and filing systems, and ensuring that all required credentials are current and compliant. This role serves as a key communication link between Care Pros and the office by answering emails and phone calls and ensuring timely follow-up. Additionally, the position oversees the preparation and organization of training and interview spaces for orientations, training, and group interviews; coordinates and schedules group interviews; manages applicant communications and notifications; and schedules performance evaluation appointments for the Recruitment and Engagement Coordinator.
Primary Responsibilities
- Reflect and uphold the core values of Smith Family Senior Care, LLC (d.b.a. an independently owned and operated Home Instead franchise).
- Maintain regular and reliable attendance at the office to fulfill job responsibilities; work schedule will be Monday-Friday from 8-5.
- Answer incoming calls in a friendly, professional, and knowledgeable manner.
- Maintain our interview calendar, including responding to messages and managing appointments within the software system.
- Create, maintain, and organize accurate electronic and hard-copy employment records, including but not limited to I-9 forms, W-4 forms, and all other employment-related documentation.
- Maintain accurate Care Pro activity and employment records within the software system.
- Adhere to Home Instead standards by completing criminal background checks, motor vehicle record checks, and drug screenings for all employees.
- Review certifications monthly, track expiration dates, and ensure records remain current and compliant.
- Assist with problem resolution in a timely and professional manner.
- Develop and support engagement strategies aligned with the five Care Pro needs to promote retention and job satisfaction.
- Maintain open, clear, and effective communication with the Recruitment and Engagement Coordinator, General Manager, office staff, Care Pros, clients, and family members.
- Adhere to all company policies, procedures, and business ethics standards, ensuring they are consistently communicated and followed.
Secondary Responsibilities
- Fill in as a Care Pro in emergent situations, as needed.
- Knowledge of the senior care industry
- Assist with the planning, coordination, and execution of quarterly Care Pro meetings, and attend meetings as required.
- Perform additional duties and responsibilities as assigned to support office operations.
Education and Experience Requirements
- High school diploma or equivalent required.
- Caregiving experience with a current HCA or CNA certification.
- Minimum of one year of professional data entry experience.
- Minimum of one year of office or administrative experience.
- Valid driver’s license required.
- Ability to operate standard office equipment.
- Strong telephone etiquette with a patient and congenial demeanor.
- Proficiency in computer applications, including Microsoft Excel and Word.

- Strong organizational skills with the ability to prioritize daily, monthly, quarterly, and annual responsibilities.
- Ability to sit at a desk and engage in extended periods of telephone communication.

- Ability to work collaboratively as part of a team.
