Objectives:

Ensure proper maintenance of Client Journals. Collect service records for office file and keep journal stocked with blank forms.
  • Maintain all active prospects and client records in ClearCare. Update and inactivate prospect and client files as needed.
  • Take phone inquiries from prospective clients, set-up service calls, record client inquiries in ClearCare to enable reporting conversion, closing and referral sources.
  • Know about long-term care insurance and how it works to be in a position to advise clients on this topic during care consultations.
  • Responsible for maintaining client files; scanning into the main shared folder and ensuring the hard copies are in the client file.
  • 90-Day audit of client files when home visit is conducted.
  • Gain mastery of the following technical systems/processes/resources: Outlook Calendars, Outlook Mail, ClearCare, The Hub, One Drive File Sharing, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Konica Printer, Panasonic Phone System, EFax, and more.
 
Secondary Responsibilities:
  • Conduct Care Consultations with prospective clients.
    • Requires intimate knowledge of all care consultation paperwork: Client Disclosure Statement, Client Assessment, Service Plan, Service Agreement, Medication Services Agreement and Direct Payment Authorization.
  • Assist with on-call duties as needed

 Qualifications:

Objectives:
Assist Recruitment/Retention Manager in screening quality CAREGivers who will fit well within our service culture.
Nurture a positive employment relationship with CAREGivers through touch points.
Manage and conduct trainings weekly - orientation, ongoing trainings, ADL trainings, etc.
Previous clinical experience or background preferred.

Primary Responsibilities:

Prepare for and conduct all in-house training courses for on-boarding CAREGivers and Key Players.
Must be able to engage students from various backgrounds and learning styles.

Manage risk to business with smart hiring practices, i.e. asking good questions, discuss interview concerns with the General Conduct Alzheimer training for all CAREGivers.

Regularly communicate with all CAREGivers.
Manage and track continuing education with CEU tracking for all CAREGivers.
Contact all new hires one-week after their start date to check to see if there are any concerns or additional training needed.
Gain mastery of the following technical systems/processes/resources: Microsoft 365, Google Email, ClearCare, Google Calendars, Integra Phone System, MapPoint, and Adobe Acrobat for Document Scanning, Email to Fax, Instant Messaging, Text Messaging, The Franchise Center, Applicant Stack and more.

  • Ensure all On-Call notes are followed-up on so we do not have any unassigned shifts or duplicate assignments. Ensure that if there is a change in a schedule that everything has been followed thru with; i.e. shifts cancelled, added and/or corrected
  • Ensure communication to CAREGivers is accurate and complete before scheduling shifts
  • Complete performance numbers weekly
  • Gain mastery of the following technical systems/processes/resources: Outlook Calendars, Outlook Mail, ClearCare, The Hub, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Network Printer, Panasonic Phone System, EFax, and more

  • Ensure all On-Call notes are followed-up on so we do not have any unassigned shifts or duplicate assignments. Ensure that if there is a change in a schedule that everything has been followed thru with; i.e. shifts cancelled, added and/or corrected
  • Ensure communication to CAREGivers is accurate and complete before scheduling shifts
  • Complete performance numbers weekly
  • CAREGiver mentoring calls
  • Gain mastery of the following technical systems/processes/resources: Outlook Calendars, Outlook Mail, ClearCare, The Hub, One Drive File Sharing, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Konica Printer, Panasonic Phone System, EFax, and more

Secondary Responsibilities:

  • Manage new CAREGivers mentoring phone call process
  • Take phone inquiries from prospective clients, set-up care consultations and record client inquiries in ClearCare to enable reporting on conversion, closing and referral sources
  • Other duties as assigned by the CAREGiver Services Manager

 Qualifications:

  • Previous scheduling experience required (minimum 2 years)
  • Must have exceptional organizational skills, attention to detail, and the ability to prioritize in a constantly changing environment
  • Must be reliable and able to work in dependently
