Home Instead Senior Care is looking for caring and compassionate CAREGivers to become a part of our team and join our mission of enhancing the lives of aging adults throughout our community.  Home Instead Senior Care provides a variety of non-medical services that allow seniors to remain in their home and meet the challenges of aging with dignity, care and compassion.

Help others stay in their own home!  Some of our clients need help overnight with safety assurance and companionship, others need additional help with incontinence cares. Office Coordinator

Job Details

  • Answer each incoming call in a friendly, professional and knowledgeable manner.
  • Field new client inquiries over the phone in a knowledgeable manner and schedule service calls. Coordinate those calls and record them on the back-office schedule board. Enter data into AxisCare and print out the inquiry data and clip it to client intake paperwork.
  • Coordinate recruitment efforts for hiring CAREGivers. Ensure newspaper ads are placed in a timely manner before deadlines, post on web recruitment sights such as Applicant Stack. School recruitment bulletin resources.
  • Manage weekly appointments for interviews and orientation meetings. Try to schedule more than 1 person at a time for orientations if possible.
  • Data entry of new CAREGiver applications into Axiscare and maintain existing CAREGiver data.
  • Maintain all employment records including I9 forms, W4 forms and other related employment documents.
  • Data entry and maintenance of accurate client records in Axiscare.
  • Coordinate communications on client and CAREGiver concerns and/ or problems with management or staff associates appropriate.
  • Coordinate and conduct employee trainings throughout the year. Large group events are done twice per year and smaller groups with a client need focus.
  • Develop and implement new recruitment strategies within the communities we serve to include job fairs and sponsored events.
  • Provide Backup staffing assistance by matching best candidate to client need and schedules.
  • Conduct client site visits for quality assurance monitoring.
  • Setup and conduct new client intake meetings. Review client needs, take notes, review paperwork and obtain signatures/pertinent information on all forms necessary to establish accounts.
  • Establish client files upon return in Axiscare and paper files. Follow check off list.
  • Ensure all file cabinets are locked and secure at business closing each day.

Secondary

  • Monitor compliance for local and federal labor and safety laws including EOE, ADA, FMLA and OSHA.
  • Prepare quarterly newsletter for CAREGivers.
  • Evaluate and update all orientation and training materials after finalized by management.
  • Collate necessary materials for orientation and client intakes.
  • Coordinate all new hire protocol on: reference calls, background and DMV checks, Drug screens.
  • Ensure both criminals are complete prior to orientation class.
  • Discuss fingerprinting expectations with candidates. Fingerprinting deadlines are necessary for successful hires.
  • Drug screens are conducted during orientation classes.
  • All training is paid at minimum wage.
  • Requirements for new hire phone calls: Must share the following information to callers (Prescreening details)
  1. Applicants must have a current driver’s license.
  2. A clean driving record.
  3. Discuss work expectations they would be involved with: Home Helper vs. Home Health Aide status and how we provide services for seniors in one-on-one home care.
  4. Must provide proof of auto insurance at the orientation.
  5. Submit to a drug screen.
  • If they are OK with the above, then arrange for an application.
  • Conduct disciplinary meetings with CAREGivers as necessary/Written warnings re; issues.
  • Complete any staff web video training through the HUB.
  • Check Hub for new updates on programs/forms/trainings, etc.
  • Schedule for on-call. This includes 1 weekday night every other week and Friday at 4:30p to Monday at 8:00am, rotation is every 5-6 weeks. On- call responsibility: trouble shoot client issues/concerns, coordinate replacements on schedules and provide updates/communications to all parties concerned. On-call assists all Duluth, Hibbing clients and caregiver staff.
  • On-call compensation: Staff is paid in comp time in exchange for coverage. Example: The following Friday is scheduled off at full pay. Holidays are compensated with a full day off with pay.
  • Comp pay /days off are considered a separate transaction from PTO/vacation/Sick.
  • At the end of each business day, all staff are responsible for information security, HIPAA practices. This includes restarting computers, do not shut down to turn them off. Lock cabinets/desk that have any protected information. Lock main doors upon leaving office. After business hours, ensure building doors are locked behind you if necessary.
  • Do no throw protected information into trash without shredding it first.
  • When third parties call for references on past/current employees, it is the agency’s policy withhold information until a signature released is obtained from the caller with handwritten approval from the employee.
  • Standard information provided: Employee name, employment dates, and title. If the caller/third party is requesting additional information, please contact Mary Andrews for further instructions on protocol.
  • Further education is encouraged for office staff skill enhancement. The general expectation is; 1 training or more per year. Opportunities will be presented to staff as they occur throughout the calendar year.

Home Instead Senior Care is looking for a compassionate person to work with a client every weekend in the Twin Ports.  The hours are Saturday and Sunday from 1pm-7pm.
