Office Coordinator
Home Instead is seeking a dependable, detail-oriented, and service-minded Office Coordinator to join our team. The ideal candidate is organized, professional, compassionate, and understands the importance of teamwork in providing exceptional service to our clients, their families, and our CARE Professionals.
Key Responsibilities
- Answer incoming phone calls in a pleasant, professional, and courteous manner.
- Assist with welcoming and communicating with clients, CARE Professionals, families, and visitors.
- Enter new client information accurately and communicate client schedules and updates with the Scheduler.
- Assist with maintaining and organizing employee and CARE Professional files.
- Receive, document, and communicate employee time-off requests.
- Monitor and manage missed clock-ins and clock-outs and assist with correcting timekeeping issues.
- Assist with filing and processing insurance claims and maintaining related documentation.
- Maintain accurate records and ensure information is entered and updated in a timely manner.
- Provide administrative support to the office team as needed.
- Work collaboratively with team members to ensure smooth daily office operations.
- Maintain confidentiality and professionalism when handling client and employee information.
Qualifications & Skills
- Strong attention to detail and excellent organizational skills.
- Excellent verbal and written communication skills.
- Professional, friendly, and compassionate telephone manner.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- Strong computer skills, including proficiency in:
- Microsoft Word
- Microsoft Outlook
- Microsoft Excel
- WellSky
- Ability to learn new systems and processes quickly.
- Previous administrative, healthcare, home care, or office experience is preferred.
