Home Instead® Operations Coordinator Job Description LV @ HM d/b/a Home Instead Objective: The Operations Coordinator is expected to perform a wide variety of clerical, administrative, and operational duties. The Operations Coordinator will be responsible for all daily tasks such as, answering the phone, staffing, recruiting and hiring, CAREGiver evaluations, care consultations, quality assurance visits, client/CAREGiver introductions, follow-ups, and marketing. Answer each call in a friendly, professional, and knowledgeable manner. Meet with potential clients and family members to discuss their needs and provide solutions in the form of a service plan. Conduct Service Inquiries and Care Consultations as needed following the consultative sales process. Maintain ongoing communication and a consistent follow-up schedule with potential clients and families who have yet to commit to service. Create and maintain client and CAREGiver schedules with an emphasis on creating high quality matches and the development of extraordinary relationships. Conduct client/CAREGiver introductions with every new client and with every new CAREGiver. Create and maintain client and responsible party records documenting all quality assurance meetings. Follow up with all client and CAREGiver issues to ensure their problems are resolved. Enter and maintain accurate client and CAREGiver records in the software system. Increase client loyalty to Home Instead by utilizing the consultative sales process to better meet our current client needs. Develop and implement new recruitment strategies online and within the community. Conduct applicant interviews in an efficient and professional manner. Following the Home Instead Standards; conduct reference checks, criminal background and motor vehicle check and drug screens on all CAREGivers. Create and maintain all employment records including but not limited to I-9 form, W-4 form and all other employment related documents. Schedule and conduct CAREGiver training including training required to meet Home Instead® Standards and additional optional training. Schedule and conduct CAREGiver annual reviews and all supervision including regular performance conversations, accountabilities, and problem resolution. Develop engagement strategies that utilize the 5 CAREGiver needs to promote CAREGiver retention and satisfaction. Monitor, mediate, and log all client and CAREGiver activity utilizing the software system. Responsible for researching and developing Referral Provider Network relationships and producing referrals; performs all phases of consultative sales process, including preparation and documentation of cold calls, follow-up calls, diagnosis of referral source and client needs, recommendation of appropriate Home Instead® services and additional community resources, maintaining and nurturing existing referral accounts, including follow-up, as necessary. Develop and maintain knowledge of Home Instead brand. Effectively presents Home Instead marketing materials and services to referral providers, including 1:1 meetings, as well as planning, arranging and conducting formal group presentations to referral providers. Adhere to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team. Secondary Responsibilities: Maintain regular attendance to execute job responsibilities. Perform any and all other functions deemed necessary. Education/Experience Requirements: Business/Marketing degree or equivalent experience is required. Must possess a valid driver’s license.
