Office Manager / Home Care Consultant

Job Details

Your local HELENA, MT Home Instead Senior Care office is currently hiring a full-time Office Manager/Home Care Consultant! The Home Care Consultant is responsible for ensuring achievement of revenue objectives for the assigned territory of Helena, MT. Revenue is to be generated from a variety of Sales and Marketing duties, including researching and pursuing new referral sources, and enhancing and maintaining relationships with existing referral sources. This position is responsible for moving referral source relationships forward, reporting results to the General Manager on a weekly basis, discussing successes and opportunities, and demonstrating thorough documented progress/production in Sales/Marketing/Networking areas. Together with the rest of the office staff, the Home Care Consultant will use their consultative sales approach to meet each Home Instead client’s needs and provide a tailored service plan. They continuously evaluate the plan through a series of ongoing communications and visits to ensure high quality care, client satisfaction and retention.

PRIMARY RESPONSIBILITIES:

  • Reflect the core values of Edward Wingfield LLC, (d.b.a. an independently owned and operated Home Instead Senior Care franchise):  Adhere to all company policies, procedures and business ethics codes.
  • In conjunction with Home Instead Senior Care franchise leadership, develop sales and marketing plans, detailing weekly and monthly activities focused on meeting or exceeding established goals.
  • Responsible for researching and developing client relationships and producing new client referrals. Perform all phases of the sales process, including preparation and documentation of cold calls & follow-up calls, diagnosis of referral source and client needs, recommendation of appropriate Home Instead® services and additional community resources, maintaining and nurturing existing referral accounts, including follow-up as necessary.
  • Achieve inquiry generation objectives for assigned territory with the primary goal of bringing in new business. (Targeted accounts include, but are not limited to, hospitals, physicians, home health agencies, assisted living facilities, nursing homes, senior centers, hospice, funeral homes, etc.)
  • Develop and maintain knowledge of Home Instead Senior Care brand, so to effectively present Home Instead Senior Care marketing materials and services to referral providers and inquiries.
  • Maintain accurate records of all sales and prospecting activities including sales calls, presentations, closed sales, and follow-up activities within the assigned territory.
  • Develop an accurate database of qualified referral leads through the use of face-to-face meetings, cold calling on referral providers, email correspondence, telephone and Web inquiries, local events, etc.
  • Meet with potential clients and family members to discuss their needs and provide solutions in the form of a service plan (referred to as ‘Care Consultations’).
  • Maintain ongoing communication and a consistent follow-up with potential clients and families who have yet to commit to service.
  • Conduct CAREGiver introductions with every new client and with every new CAREGiver
  • Participate in and contribute to the development of educational programs offered to clients, prospects, and co-workers.


SECONDARY RESPONSIBILITIES:

  • Work with other team members to coordinate various aspects of a client’s care.
  • Conduct quality assurance (QA) visits with clients as needed
  • Participate in various PR strategies


EDUCATION/EXPERIENCE REQUIREMENTS:

  • College degree or equivalent work experience
  • Related business or sales experience (Consultative Sales experience is preferred)
  • Must possess a valid driver’s license, and provide proof of current automobile insurance.
  • Must pass a Background Check, in order to work in the field, and be insurable.

KNOWLEDGE, SKILLS, & ABILITIES:

  • Must have an understanding of and uphold the policies and procedures established by Edward Wingfield LLC, (d.b.a. an independently owned and operated Home Instead Senior Care franchise.)
  • Must demonstrate excellent oral and written communication skills, and possess the ability to listen effectively.
  • Must have the ability to work independently, maintain confidentiality of information and meet deadlines.
  • Must have the ability to demonstrate effective interpersonal skills, as well demonstrate sound judgment and good decision-making skills.
  • Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures.
  • Must have the ability to organize and prioritize daily, monthly, quarterly and yearly work.
  • Must have the ability to establish good working relationships with office colleagues, the franchise owner, clients, CAREGivers, and the community.

  • Must have the ability to efficiently operate office equipment.

Human Resources Coordinator

Recruitment and Engagement Coordinator Home Instead Senior Care

Objective:

The Recruitment and Engagement Coordinator is expected to perform a variety of duties for the recruitment of CAREGiversSM. The Recruitment and Engagement Coordinator is expected to recruit, screen, hire, train, and engage a staff of CAREGivers in order to provide the highest quality service to clients.

Primary Responsibilities:                                                                             

  • Answer each employment inquiry in a friendly, professional and knowledgeable manner.
  • Develop and implement new recruitment strategies online and within the community.
  • Schedule and conduct applicant interviews in an efficient and professional manner.  
  • Following the Home Instead Senior Care Standards; conduct reference checks, criminal background and motor vehicle check and drug screens on all CAREGivers.
  • Create and maintain all employment records including but not limited to I-9 form, W-4 form and all other employment related documents.
  • Schedule and conduct CAREGiver orientation and all training including training required to meet Home Instead® Standards and additional optional training.
  • Develop engagement strategies that utilize the 5 CAREGiver needs to promote CAREGiver retention and satisfaction.
  • Schedule and conduct CAREGiver annual reviews and all supervision including regular performance conversations, accountabilities and problem resolution
  • Work in partnership with the Scheduling Department to coordinate CAREGiver schedules with an emphasis on creating high quality matches and extraordinary relationships.
  • Monitor, mediate, and log all client and CAREGiver activity utilizing the software system.
  • Prepare and publish the monthly newsletter within the deadline
  • Evaluate and update all orientation and training materials as needed
  • Plan and successfully execute all CAREGiver meetings
  • Monitor compliance for local and federal labor and safety laws including EOE, ADA, FMLA, and OSHA
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with the franchise owner, colleagues, CAREGivers, clients and family members.
  • Conduct Service Inquiries and Care Consultations as needed following the consultative sales process
  • Adhere to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team.
