The Receptionist/Front Desk is expected to perform a variety of clerical and administrative duties. This person is expected to answer phones, complete administrative duties and support other staff members with clerical tasks in order to provide the highest quality service to clients and CAREGivers. It is also a requirement of this position to be a backup CAREGiver for occasional fill-in shifts with our clients. The hours for this position are part-time, consisting of two full work day in the the office on Saturdays and Sundays, and on-call duties Friday-Sunday nights. On-call duties require the Receptionist to answer calls on the after hours phone as they come in. The Receptionist is expected to perform a variety of front desk and on-call duties. 

Primary Responsibilities:

  • Reflect the core values of 1533, LLC (d.b.a. an independently owned and operated Home Instead Senior Care franchise)
  • In-office duties include but are not limited to:
  1. Answering each incoming call in a friendly, professional, and knowledgeable manner and responding to them as needed
  2. Assisting with collection, review, follow up and filing of Activity of Daily Living logs for each client
  3. Greeting each visitor to the office in a friendly, professional, and knowledgeable manner and responding to them as needed
  4. Field new client inquires over the phone in a knowledgeable manner, entering information into the system as necessary
  5. Communicate with CAREGivers and clients regarding scheduling as changes arise
  6. Monitor, mediate, and log both client and CAREGiver activity, and follow up on CAREGiver assignments and client service
  7. Take messages and document all calls so office staff can respond if necessary Monday morning
  8. Contact backup person when questions arise about clients or CAREGivers that require input from regular office staff
  9. Act as a fill-in or replacement CAREGiver when a regular CAREGiver is unavailable for a shift
  10. Assisting other office staff with projects as directed by manager
  • Review weekend schedule with Staffing Coordinator and become aware of any potential trouble spots that might arise over the weekend
  • Work with Office Staff to have all office calls transferred to a cell phone to be used by the On-Call person 
  • Report to Staff Sunday morning to pass on any pertinent information from the weekend. 
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with owner, colleagues and CAREGivers

Secondary Responsibilities:

  • Perform any and all other functions and responsibilities deemed necessary

Education/Experience Requirements:

  • High school graduation or the equivalent
  • One year of related business experience or an equivalent combination of education and work experience may be considered
  • Must possess a valid driver’s license

Knowledge, Skills and Abilities:

  • Must have an understanding of and uphold the policies and procedures established by 1533, LLC.(d.b.a. an independently owned and operated Home Instead Senior Care franchise)
  • Must demonstrate excellent oral and written communication skills and the ability to listen effectively
  • This position must have the ability to work independently, maintain confidentiality of information, and meet deadlines
  • Ability to demonstrate effective interpersonal skills is essential, as well as sound judgment and good decision-making skills
  • Must demonstrate discretion, integrity, and fair-mindedness consistent with company standards, practices, policies, and procedures
  • Ability to organize and prioritize daily, monthly and yearly work
  • Ability to establish good working relationships with management, colleagues, clients, and CAREGivers
  • Ability to sit at a desk and listen effectively for long periods of time on the telephone
  • Ability to present a professional appearance and demeanor
  • Ability to operate office equipment 
  • Must be patient and congenial on the telephone 
  • Must have computer skills and be proficient in Microsift Word and Microsoft Excel
  • Ability to work evenings and weekends as required
  • Ability to perform duties in a professional office setting
  • Knowledge of the senior care industry
