Administrative Assistant

The Administrative Assistant is expected to perform a variety of duties, not limited to, answering phones, completing administrative tasks, supporting CAREGivers and office staff, and providing the highest level of service to our CAREGivers and clients.

This is a part-time position either 8am-1pm or 12pm-5pm
 
Primary responsibilities:
  • Reflect the core values of HI Omaha, Inc. d/b/a an independently owned and operated Home Instead Senior Care franchise.
  • Greet visitors when they enter the office with a smile and enthusiasm.
  • Answer incoming calls in a friendly and professional manner.
  • Transfer calls to the appropriate staff member in a timely manner.
  • Enter and maintain proper CAREGiver and client records.
  • Communicate client and CAREGiver concerns or problems with other staff as appropriate.
  • Maintain regular attendance in the office to execute all job responsibilities.
  • Demonstrate open and effective communication with all staff, CAREGivers, and clients.
 
Education and Experience
  • High School graduate or the equivalent
  • 2 years of experience as an administrative assistant or equivalent role.
  • Must have a valid driver’s license
Knowledge, Skills, and Abilities
  • Must have an understanding of the policies and procedures established by HI Omaha, Inc. an independently owned and operated Home Instead Senior Care franchise.
  • Must have computer proficiency including Microsoft Office, Windows operating systems, and various other software for office use.
  • Must demonstrate excellent oral and written communication skills.
  • Must have the ability to work independent of supervision, maintain confidentiality, and meet deadlines
  • Must demonstrate discretion, integrity, fair-mindedness, good judgment, and good decision making skills.
  • Must be able to prioritize daily, weekly, monthly, and yearly tasks.
  • Must be able to establish good working relationships with management, colleagues, franchise owners, and other staff.
  • Must have the ability to sit at a desk for long periods of time and be able to listen effectively on the phone.
  • Must have a professional appearance and demeanor.
  • Must be patient and amiable on the phone.
  • Must be able to perform duties in a professional office setting.
